An association choosing a digital voting platform needs evidence about eligibility, ballot handling and the final results process. A list of features is only a starting point. This guide sets out procurement questions; it does not establish that Vota currently supplies every voting capability described here. Vota's public homepage currently presents aspirant profiles and campaign management.
Separate membership records from voting eligibility
A membership list may contain inactive accounts, duplicates or people who are not eligible for a particular decision. Assign responsibility for approving the final roll and record a version that can be checked. Ask how late changes are handled and who authorises them. The demonstration should include a duplicate record and a member whose eligibility changes.
Agree the identity and ballot requirements
Write down how a voter is recognised, what support is available and whether the ballot must be secret under your organisation's rules. Ask the provider to explain what administrators can see and what is recorded in the audit history. An audit trail alone does not demonstrate ballot secrecy or independent assurance.
Test exceptions before the voting window
Use a rehearsal to examine an interrupted session, a repeated attempt and a member needing assistance. Ask how the system prevents unintended duplicate participation and how support staff act without choosing on somebody's behalf. Establish a documented incident process before members depend on the platform.
Define how results are approved
Specify who closes voting, reviews exceptions, checks the count and authorises publication. Agree which exports and records the committee receives. Ask how corrections are handled after a report has been produced. Your organisation's governing rules should guide the process, and material legal questions should be reviewed by an appropriate adviser.
Request evidence of the proposed service
Ask Vota to confirm whether the required member-voting workflow is offered, what would require separate development and what assurance is available. Keep campaign management and ballot administration as distinct requirements. Do not commit an election date based on a generic product description. Record scope, rehearsal arrangements, support and deliverables before procurement.
